Project Title

Custom Case Management & Workflow System for Accredited DNA Laboratory

Project Overview

We are an ISO 17025 accredited DNA testing laboratory in Australia seeking to develop a custom-built web-based case management and workflow system.

This system will replace an 18-year-old legacy database and must reflect our current operational complexity, including:

Legal DNA testing

Government agency cases

Immigration DNA testing (including international coordination)

Distributed inventory management

Document control and compliance

Communication tracking and follow-up workflows

This is a ground-up custom system. We are not seeking CRM customisation or template-based solutions.

A detailed functional specification is being finalised and will be provided to shortlisted developers.

Business Context

Our company manages DNA testing cases involving:

Multiple participants (e.g., father, mother, child)

Different collection locations (domestic clinics, prisons, overseas embassies)

Legally binding documentation

Government agencies

Immigration authorities

Time-sensitive case follow-ups

Cases often progress non-linearly and require structured coordination and audit trails.

The new system must accurately reflect and support these workflows.

Scope of Work

The system must include the following core components:

1. Case Management

Creation and management of cases

Multiple service types (peace of mind, legal, immigration, agency cases)

Multiple participants per case

Configurable case statuses

Office-based and role-based access

2. Communication Tracking

Logging of phone calls with outcomes

Email templating with dynamic data

SMS integration

Automated follow-up scheduling

Escalation workflows for non-responsive participants

Complete communication audit history

3. Immigration Workflow Module

Capture identifiers from official immigration correspondence

Generate structured “Request for Appointment” emails

Coordinate overseas collections

Support countries with and without pre-configured clinic locations

4. Inventory Management

Track appointment kits distributed to domestic and international locations

Track swab usage per donor

Deduct inventory upon sample receipt

Reorder threshold alerts

Manual adjustment with audit trail

5. Document Management

Version-controlled controlled documents

Rule-based document inclusion based on service and collection type

Printable physical documents (affidavits, pathology requests, checklists)

Record of document version used per case

6. Laboratory Interface

Electronic sample receipt logging

Printable label generation

Basic lab status updates

Chain-of-custody reporting

7. External Portals

Client progress portal (limited, non-identifying data)

Agency portal (case visibility and note entry)

Reseller portal (case submission and tracking)

8. Reporting

Full case audit report

Chain-of-custody report

Operational metrics (volume, trends, bottlenecks)

Exportable PDF reports

9. Security & Compliance

Role-based access control

Multi-factor authentication support

Timezone-aware logging

Immutable audit trail

Selective case deletion with retention record (peace-of-mind cases only)

Deliverables

Fully functional web-based system

Database schema design

Secure authentication and permissions

Deployment documentation

Basic user documentation

Ongoing support options (to be discussed)

Project Structure

We anticipate phased delivery:
