Automate Patient Booking Workflows
Budget: £20 – £250 GBP
Our practice management platform already exposes a well-documented REST API; what it lacks is an end-to-end workflow that reacts the moment a patient schedules an appointment—whether it is a Consultation, Follow-up, or full Procedure. I want that single action to trigger three things automatically:
• Push the correct paperwork (Consent forms, Medical history forms, and, when relevant, Pre-procedure instructions) into the patient’s portal account so nothing is emailed or texted outside the system.
• Generate an itemised invoice and secure payment link, post it to the same portal thread, and flag it as outstanding until paid online.
• Write back status updates so our staff dashboard shows when forms are completed and payments are settled.
You are free to orchestrate this with native API calls, a middleware tool such as Zapier/Make, or light custom scripting—whatever keeps maintenance simple. The final hand-off should include:
• The live, tested automation flows mapped to each appointment type
• Clear documentation of endpoints, tokens, and field mappings so we can extend or troubleshoot in-house
• A short Loom or screen-share walkthrough that shows the process from booking to payment confirmation
