Security Guard Management Application Development
Budget: $1,500 – $3,000 USD
Enterprise Security Consulting and Training Inc. (ESCT) is looking to design, develop, and implement a proprietary Security Guard Management App. This app will be used internally to manage ESCT’s security operations and will also be available for licensing to other companies in the security services industry.
The app should be suitable for use on both mobile devices and desktop platforms and include real-time reporting, GPS tracking, incident management, shift scheduling, communication tools, and integration capabilities, particularly with payroll and billing systems such as Intuit WorkForce and Paychex.
The app will enable security companies, including ESCT, to efficiently manage security personnel, track patrols, document incidents, and handle communication between guards and supervisors. It must be flexible enough for use across various industries and locations, with customizable settings for different clients and operational needs.
The objectives of this project are to:
Develop a fully functional mobile and web-based Security Guard Management App.
Provide features to monitor and track guard activities, incidents, and performance.
Enable real-time reporting and communication between security personnel and supervisors.
Create an app that is scalable and can be licensed to other security service companies.
Ensure the app’s design is intuitive, mobile-friendly, and secure.
Develop integration capabilities with Intuit WorkForce, Paychex, and other relevant payroll and billing systems.
Provide an intuitive interface for both guards and supervisors, ensuring ease of use across different devices.
App Features and Functionality
The app should include, but not be limited to, the following key features:
Real-Time Incident Reporting:
Guards should be able to log incidents in real-time.
Includes text fields for descriptions, dropdown menus for incident types, photo/video uploads, and urgency levels.
Incident data should be stored securely and be exportable.
GPS Location Tracking:
Use of geolocation features to track guards’ movements.
Guards should check in at designated checkpoints during patrols, with GPS coordinates captured.
Real-time location monitoring for supervisors to verify guard activities.
Shift Scheduling:
Supervisors should be able to assign and manage shifts.
Automatic notifications to guards when shifts are assigned or modified.
Guard attendance tracking and clock-in/clock-out functionality.
Patrol Logs and Checkpoints:
Guards should be able to log patrol checkpoints with timestamps and status updates.
Ability to mark tasks as completed or in progress.
Emergency Alerts and Notifications:
Guards should be able to send emergency alerts to supervisors.
Supervisors should receive real-time notifications via push, email, or SMS.
Alerts should be logged and stored for future reference.
Communication and Collaboration:
Built-in messaging system for guards and supervisors to communicate directly within the app.
Integration with Microsoft Teams or similar platforms for team communication.
Customizable Reports:
Ability for guards to submit daily activity reports, incident logs, and patrol logs.
Reports should be automatically generated and exportable in PDF/Excel format.
Customization options for each client’s reporting needs.
User Roles and Permissions:
Role-based access control to differentiate between guards, supervisors, and administrators.
Supervisors and administrators should have higher-level access for scheduling, reporting, and incident management.
Offline Functionality:
The app must be functional offline and sync data once an internet connection is available.
Guards should be able to continue logging incidents and patrols offline, which will automatically sync once online.
Security and Compliance:
Data encryption, secure login protocols, and compliance with data privacy regulations.
Integration with ESCT’s existing security infrastructure, including user authentication systems.
Customization and Branding:
The app should be customizable with the ability for other security companies to brand it with their logos, colors, and branding.
Multiple language support should be available.
Integration with Payroll and Billing Systems
The app must integrate seamlessly with third-party payroll and billing systems, specifically:
Intuit WorkForce: The app should sync guard hours worked, overtime, and attendance to Intuit WorkForce for payroll processing.
Paychex: Integrate with Paychex for payroll and billing, including generating timesheets, invoices, and other billing-related documents based on the guard logs.
Additional Integrations: Support integration with other third-party payroll or billing systems used by clients, ensuring scalability.
Integration with timesheet management systems to track guards’ worked hours, shifts, and overtime, facilitating payroll and billing automation.
The system must be able to export payroll data (e.g., hours worked, overtime) in formats compatible with Intuit WorkForce, Paychex, or other payroll systems.
