Project Description:
We are seeking an experienced full-stack web developer or agency to design and build a robust PG (Paying Guest)/Hostel management system on our domain https://www.vaikuntum.in/pg. The platform must allow management of multiple PG branches, automation of rent collection, guest lifecycle handling, utility management, and more.
This system should be secure, scalable, mobile-friendly, and designed for high efficiency with minimal maintenance needs.
Scope of Work:
1. Branch and Room Management
Admin should be able to add, edit, and manage multiple PG branches.
Each PG branch should have:
Room-wise and bed-wise configuration (sharing/single occupancy)
Images and pricing per room type
Future bed availability
Option to mark beds as booked/vacant/under notice
2. Notice Intimation and Auto-Display
When a tenant submits a notice to vacate, the system should:
Automatically make the specific room/bed “available from [date]”
Display the room photo, rent, and vacancy date on the public website immediately
3. Online Booking System
Guests should be able to view room details and book rooms online via website
Admin to receive real-time booking requests with tenant details
Automatic rent pro-rating if tenant joins mid-month (e.g., 15th – 30th rent collected automatically)
Advance rent handling included in booking flow
4. Guest Management
Guest self-check-in through form or QR code
Aadhaar KYC upload and verification interface
Guest history, current stay status, and rent payment record visible in admin portal
Guest panel with ability to:
Submit complaints
Raise notice to vacate
View rent dues, payments, and receipts
Receive rent reminders and utility bills
5. Rent Management
Configure rent collection cycle: Fixed from 1st to 30th of each month
If joining mid-month, auto-pro-rated rent + next full month advance collected
Rent dashboard for admin to view total collected, due, pending per branch and room
Auto generation of PDF rent receipts
Email/SMS/WhatsApp reminders for rent due and confirmations
6. Bills & Utility Tracking
Add electric meters and record per-room readings
Assign usage-based or fixed utility charges per guest
Combine rent and utilities in single invoice per month
Expense tracking: water, groceries, salaries, building rent, miscellaneous
Monthly and yearly expense tracking with profit/loss visibility
7. Reports & Analytics
Generate reports by:
Branch, Date Range, Expense Type, Room Occupancy, Rent Collection, etc.
Export to PDF/Excel
Auto-generated daily, weekly, and monthly summaries
8. Complaints & Issue Tracking
Guests can log complaints with description and optional photo
Admin/staff can update status (Open, In Progress, Resolved)
Complaints dashboard with filtering by branch, status, category
9. User Roles & Access Control
Role-based system with predefined access for:
Admin
Manager (per PG)
Accountant
Receptionist
Guests should only see their own data
Audit trail of who updated what and when
10. Notifications
SMS, Email, and optional WhatsApp notifications for:
