I need an airtable expert
Budget: €250 – €750 EUR
Airtable Project Resource and status specification - DRAFT and not complete but I believe this describes all the complex parts. May need to renogiate after a final specification or have a version 2 project.
Overall requirement and background
I wish to create a service for internal use that shows key information about projects and the human resources that are assigned to them.
Also a view that shows the human resource overview in a timeline so you can see the % they are booked and on what projects they are assigned to.
The assignment of resources is done in a project view, the resource overview only shows the allocation and serves as a means of navigating to the other views.
I am not sure how the database structure is best made so feel free to advise, the description below is based on my functional requirements.
Integrations (if possible)
Pull the full names (with email) from one or more Google Workspace Groups.
Data
Numbers and names that together make up the Project or Product names are separate fields because the number is fixed and protected while the name may be updated.
Project
For a project we need to define name and number in separate fields, together they are the project name. Example: “9999 Project taxi”. Projects shall have start and end dates in order to show availability of resources.
A project has a one-to-many relationship to Products.
For a project a single project owner and project manager may be selected.
Furthermore multiple Human Resources shall be added to the project. Based on the selected Role for each Human Resource a dropdown menu shows the names of the resources available. For each Human Resource a % is added.
Based on the dates for the project the color of the resource should be red if booking exceeds 100% at any given time in the time frame.
Projects shall have a risk selector that chooses between 1-5 in where red is the highest risk.
Product
A Product has a name and a number ID.
A URL for navigating to the documentation page for the product.
A defined product owner (contact)
A product may have multiple Project relationships.
A product can have multiple relationships to other Products in “Serving” and the opposite relationship will be “Served by”.
Human resource
Human resource is a Contact with a defined set of roles.
Team name is displayed as part of the resource name.
Contact
A contact consists of full name and email address
Roles
Roles are Project Manager, Designer, Developer etc.
Teams
Teams are collections of Human Resources that work together.
This is a one to one relationship between Human Resource and Team.
Views
Project list
This view shows all the projects in a gantt view with a row pr project with color of the row based on risk.
From the project list you can see and navigate to the Human Resources, related Products details.
Human Resource view
This view shows all the human resources, and their allocation % on each project.
