1. Project Overview
We are seeking an experienced n8n expert to review, improve, and optimize an existing workflow. The current flow is a chatbot that communicates with tenants, captures their details as leads, and saves them into Airtable. Additionally, the workflow stores conversation history for later use in improving AI responses and training data quality.
The goal is to ensure the workflow is reliable, scalable, and well-structured to support ongoing automation and AI training needs.
2. Objectives
Optimize Existing Workflow
Review the current chatbot → Airtable workflow.
Identify inefficiencies, errors, or unnecessary complexity.
Propose improvements for speed, reliability, and maintainability.
Lead Management (Airtable Integration)
Ensure leads (tenant details) are correctly captured and mapped into Airtable.
Add proper data validation, deduplication, and error handling.
Conversation History Tracking
Improve how chatbot conversations are logged.
Ensure each tenant’s conversation history is tied to their profile in Airtable.
Standardize formatting for easier analysis and training data export.
AI Training Data Preparation
Structure stored conversation history for future AI model training.
Add metadata (timestamps, tenant ID, query type, etc.) where helpful.
Ensure easy export (e.g., CSV/JSON) for retraining AI.
Documentation & Knowledge Transfer
Provide clear documentation of the improved workflow.
Include a walkthrough (text or short Loom-style video) explaining each step.
Advise on best practices for scaling and maintaining the workflow.
3. Deliverables
Refined and fully functional n8n workflow(s).
Updated Airtable integration with validation and deduplication.
Structured conversation logging system (with metadata).
Export-ready dataset for AI training.
Documentation (workflow overview + instructions).
4. Skills Required
Strong expertise in n8n workflow automation.
Experience with chatbots and Airtable integrations.
Knowledge of data structuring for AI training.
Strong debugging, error handling, and workflow optimization skills.
5. Timeline
Initial audit & recommendations: 2–3 days.
Implementation of improvements: 1–2 weeks.
Final testing & documentation: 2–3 days.

6. Success Criteria
All leads are reliably captured in Airtable with no missing/duplicate entries.
Conversation history is stored consistently and linked to each tenant.
Workflow runs without recurring failures or data loss.
Dataset is clean and export-ready for AI training.
Documentation is clear enough for our internal team to maintain workflows.
