End to end workflow automation
Budget: £750 – £1,500 GBP
I need assistance in setting up a comprehensive and partially automated workflow for my work in the loyalty industry. We frequently book flights and hotels using points and miles, often utilizing the clients' own miles. Our charges are based on the number of redeemed miles.
The workflow should begin with inquiries from clients or potential clients, which can come via phone calls, SMS, WhatsApp, or email. I require the ability to automatically generate tickets for these inquiries and capture the contact information to add it to our contacts database or CRM. It would also be ideal to access the caller's information and previous interactions while on the call, possibly through a tool like "AirCall." Additionally, I need a unified dashboard to view all incoming WhatsApp messages, SMS, and emails.
Another crucial aspect of the workflow is the implementation or integration of a task manager that can track open tickets and other tasks, while linking them to the relevant client.
Once a ticket is booked, I receive a confirmation email or download a confirmation PDF. I then need to input all the booking data into my database. Currently, my historical bookings are on an Excel sheet, which includes profit calculations. It could remain in that format, or alternatively, migrate to a more practical solution like "AirTable." Ideally, the email/PDF should automatically generate an entry in the database using AI to parse the relevant booking information. However, it would be helpful to have a prompt for me to submit any missing information.
This process can then trigger the generation of an invoice for the client using "Zoho Books." The invoice can remain in Zoho Books until manually reviewed and sent.
A centralised dashboard is also needed to track open tickets, financial analysis, profits, unpaid invoices, and other relevant information.
One of the challenges I face is entering new client contact information and keeping it automatically synced with other systems such as the customer service help line, the database of bookings, open tickets/tasks, and the invoicing software.
While I have mentioned some software tools that seem suitable for these tasks, I am open to trying other programs or custom systems. While AI could potentially improve some aspects, it is not necessary unless it proves to be effective and beneficial.
Using systems that are easy to use, have great design and UI/UX, are essential.
