Job Title: Custom Invoice Dashboard in Notion or Airtable (Integration with Slack, PayPal, Upwork & Automation via Zapier)
We are seeking an experienced freelancer to develop a custom invoice management dashboard for our business using Notion or Airtable, with possible integration to Slack, PayPal, Upwork, and automation tools like Zapier.
Project Overview:
We are currently using a spreadsheet that’s bulky and not user-friendly for tracking our invoices.
We need a streamlined and presentable dashboard that offers better visibility and control over client invoices, project statuses, and payments.
Requirements:
Payment Tracking:
Highlight clients with outstanding payments. Once clicked, it should show the pending invoices and how long they’ve been overdue (categorized by days, weeks, months).
Group clients by parent company and subsidiaries under the same client name.
Display complete client history upon clicking the client name, including:
First contact date
When the quote was provided
When the quote was accepted
Work completed
Payments made
Invoice and Payment Management:
Ability to view quotes and details of the invoice even after the project is archived.
Once a project backlog is completed, prompt to transition the project to a monthly retainer and specify the new billing amount.
Start monthly billing automatically, with the backlog archived but accessible for reference.
Dashboard Overview:
A summary of all open amounts across all clients should be visible on the dashboard.
Batch clients and projects similarly to how Airtable organizes information for a clear, structured view.
Automation & Integration:
Integrate the dashboard with Slack to receive alerts/notifications about overdue payments, project milestones, or monthly billing cycles.
PayPal and Upwork integration to monitor payments received and invoices sent.
Use Zapier or other automation tools to automate repetitive tasks such as sending reminders for overdue payments, starting monthly billing, or updating records after payments are made.
Desired Features:
Simple and intuitive user interface for easy navigation and data management.
Ability to filter and sort based on client name, project, due dates, etc.
Automation to ensure minimal manual intervention.
Use of existing tools like Notion or Airtable for creating the dashboard.
Skills Required:
Proficiency in Notion and/or Airtable for building custom dashboards.
