Custom Airtable Travel System

Job ID: 40151259

Budget: $25 – $50 USD

I need a well-structured Airtable base that lets my small travel agency store every client, booking, and tour in one place while making day-to-day work easier. The heart of the build is solid client and booking management: each record should sit under a master “Bookings” table, automatically tied to the traveller, the trip, and the relevant agent or hotel. I organise my workload chronologically, so bookings need to default to a “by booking date” view, with filters that still let me drill down to trip type or destination whenever helpful.

Commissions are the next priority. Both agents and hotels earn variable rates that change with the specifics of each booking—sometimes it’s a sliding percentage, other times a flat figure triggered by certain room nights or extras. I want formulas (or scripting, if that’s cleaner) that calculate these amounts automatically, roll them up to each agent or partner, and flag anything that looks off.

Finally, I’d like automated follow-ups for folios, invoices, and commission chasers. As soon as a payment or document reaches its due date, Airtable should fire an email or Slack message so nothing slips through the cracks. A quick dashboard showing pending invoices and uncollected commissions would be a bonus.

Deliverables
• Airtable base with linked tables for Clients, Bookings, Tours, Agents, and Hotels
• Tested commission logic reflecting our variable-rate rules
• Automations that send timed reminders for folios, invoices, and commission collection
• One short loom or pdf walkthrough so my team can maintain the base on their own

If that scope feels clear and you have experience building similar Airtable workflows, let’s get started.
