Part 1 — Full Scope of Work (SoW)
Project: Business Automation — Block 0 (Voice Intake) + Block 1.1 (Order & Confirmation) + Related Operational Flows
Goal: Deliver a fully operational, turnkey automation system in Make.com for a service. The system must handle both text-based and voice-based job requests, generate AI-powered structured estimates, produce PDFs, create payment links, send client communications, process payments, issue invoices, and support operational flows.
Scope of Work
Block 0 (Voice Intake): Telegram Bot → Audio transcription (OpenAI Whisper) → AI Estimate (OpenAI GPT, JSON mode) → Airtable → Pass to Block 1.1.
Block 1.1 (Order & Confirmation): HCP Webhook → AI Estimate → Airtable → Google Docs (:batchUpdate with unified placeholders {{ClientName}}, {{Date}}, {{Address}}, {{ScheduledStart}}, {{JobDescription}}, {{EstimateTotal}}, {{JobID}}) → PDF → Stripe Checkout (amount in cents, metadata.job_id, Idempotency-Key) → Gmail/Twilio communications (opt-in & rate-limited).
Payments & Invoices (Block 2): Stripe webhook → Signature verification → QuickBooks invoice creation → Client notification.
Additional Operational Flows: Contractor assignment, job completion tracking, weekly reporting.
Technical Requirements
• Make.com orchestration.
• HCP webhook setup, event.id filtering, signature verification if available.
• OpenAI Whisper + Chat Completions (JSON mode, schema validation).
• Airtable mapping for Jobs, Logs.
• Google Docs/Drive batchUpdate with guard-block (permissions check & add).
• Stripe Checkout — amount in cents, metadata.job_id, Idempotency-Key.
• Gmail & Twilio — opt-in, rate limit, retries.
• QuickBooks invoice on Stripe payment.
• Security: PII masking, secure variable storage, compliance with retention policy.
Deliverables
1. Fully working Make.com scenarios (Block 0 + Block 1.1).
2. Exported .json blueprints.
3. Google Docs templates with unified placeholders.
4. Airtable schema documentation.
5. Test data/screenshots for positive & negative runs.
6. Runbook (1–3 pages).
7. Error log samples with masked PII.
Acceptance Criteria
• Positive & negative scenario tests (S1 & S2).
• Google Docs placeholders replaced correctly.
• Guard-block and PDF export retries work.
• Idempotency & webhook signature verification implemented.
• Full documentation & runbook delivered.
Part 2 — Short Job Posting
Job Title: Make.com Automation Expert — Business (HCP, OpenAI, Airtable, Google Docs, Stripe, Twilio, QuickBooks)
We run a handyman business and need a full end-to-end automation setup in Make.com. The system must handle both text and voice job requests, generate AI-based estimates, produce PDFs, create payment links, send client communications, process payments, and issue invoices.
Key Responsibilities
• Block 0: Telegram Bot → Whisper transcription → GPT JSON estimate → Airtable.
• Block 1.1: HCP webhook → GPT estimate → Airtable → Google Docs batchUpdate → PDF → Stripe Checkout → Gmail/Twilio.
• Payments & Invoices: Stripe webhook → Signature verification → QuickBooks invoice → Client notification.
• Implement logging, retries, guard-blocks, and idempotency.
Requirements
• Proven Make.com automation experience.
• Experience with HCP, OpenAI, Airtable, Google Docs/Drive, Stripe, Gmail, Twilio, QuickBooks.
• Knowledge of webhook signature verification, Google Drive permissions, and PII masking.
