Airtable Trucking & Logistics Setup
Budget: $30 – $250 USD
I already rely on Airtable for day-to-day operations, but it’s still a collection of ad-hoc tables. I want it transformed into a true trucking and logistics workspace that my drivers and dispatchers can open and use with zero guesswork.
Core functions in scope
• Load tracking – every shipment must move through a clean workflow from quoting to delivery confirmation.
• Driver management – assign, reassign, and view driver availability at a glance.
• Route optimization – surface the most efficient path and flag conflicts before they become costly detours.
Key data to capture for each load
• Weight, commodity type, and any special handling notes
• Precise pickup and delivery addresses (with embedded map links)
• Required pickup/drop windows and hard delivery deadlines
What I expect as deliverables
1. A fully structured Airtable base with linked tables for Loads, Drivers, Routes, and Clients, pre-populated with sample records to demonstrate logic.
2. Interfaces for two roles:
– Drivers: mobile-friendly board to see current loads, update status, and upload PODs.
– Dispatchers: dashboard to create loads, drag-and-drop assignments, and monitor ETA exceptions.
3. Automations or scripts that:
– Notify the assigned driver when a new load hits their queue.
– Recalculate and surface best-route suggestions whenever pickup or delivery times change.
4. Clear documentation (or a short Loom walk-through) so my team can maintain and tweak the base without outside help.
If you have prior experience building logistics workflows inside Airtable—including scripting (JavaScript), Automations, and the new Interface Designer—let’s talk. Once this foundation is solid, I’ll likely add mileage tracking and client-side portals, so consider this a first phase with room to grow.
