Airtable + Make (Integromat) Automation Expert Needed – CRM Workflow & Email Automation Setup

We are a luxury custom window treatments company based in Scottsdale, Arizona (House of Shades). We are building a structured CRM and automation system using Airtable as our primary lead management platform and Make (formerly Integromat) as our automation engine.

We are looking for an experienced automation specialist to help us complete the integration and workflow setup between Air table and Make, specifically focused on client onboarding and pre-consultation workflows this project should take 2-4hrs for a well verse expert.

Important Context:
We have already built and structured our Air table CRM base internally, including lead tracking fields, statuses, and workflow stages. We are not starting from scratch.

At this stage, we primarily need help connecting Airtable to Make properly, troubleshooting the connection, and finalizing the automation workflow so it runs reliably.

Scope of Work:

Airtable → Make Integration

Properly connect our existing Airtable base to Make

Troubleshoot and resolve authentication/token or permission issues

Ensure Make can successfully read and watch records from Airtable

Automation Trigger Setup

Create automation that triggers when a lead reaches a specific status (example: “Consultation Scheduled”)

Confirm trigger reliability and real-time functionality

Automated Email Workflow

When triggered, system sends automated email to client

Email will include link to our Pre-Consultation Brief Form

Ensure formatting, sender identity, and deliverability are properly configured

Airtable Record Update

After email sends, update record field (example: “Pre-Consult Form Sent” checkbox or date field)

Prevent duplicate email sends

Testing + QA

Run multiple test scenarios

Confirm automation runs without failure

Ensure data flows correctly between systems

Airtable (CRM / Lead Management) – Already built

Make (Automation platform)

Outlook / Microsoft 365 (Email delivery)

Future integrations planned (SMS, reminders, scheduling)

Deliverables:

Fully functional Airtable → Make automation

Email workflow operational

Record update automation completed

Tested and verified system

Ideal Freelancer Qualifications:

Proven experience with Airtable + Make integrations

Strong understanding of CRM workflow automation

Experience troubleshooting existing automations

Detail-oriented and organized

Able to communicate clearly and document work

Experience with Outlook / Microsoft 365 automations
