Overview
MUST SPEAK BOTH ARABIC & ENGLISH
The Personal Assistant to the Director will provide direct support in two main areas:
Assisting with research, transcription, translation, and archival work for an ongoing documentary film project.
Supporting the organization and preparation of training materials for a separate educational program.
The role requires someone tech-savvy, resourceful, detail-oriented, and comfortable using AI tools, file management systems, and creative problem-solving to get things done efficiently.
Key Responsibilities
A. Documentary Project Support
Use AI-based tools (such as Whisper, Otter, or Descript) to transcribe and translate interviews, short films, and archival videos.
Review and edit AI-generated transcripts and translations for accuracy, clarity, and context.
Create and format SRT subtitle files for interviews and film excerpts.
Conduct online research to locate archival materials — including photos, audio, and video — relevant to the project.
Download, organize, and catalog media from online sources, using creative methods if direct downloads are restricted.
Maintain a digital archive of all sourced materials with clear labeling and metadata.
Assist with background research on subjects, historical references, and themes.
B. Training Program Support
Assist in organizing and preparing materials for documentary-related training sessions.
Help review, transcribe, and summarize recorded workshops and lectures.
Manage folders, shared drives, and reference materials for the training program.
Coordinate minor administrative and organizational tasks related to content preparation.
C. General & Administrative Support
Perform day-to-day tasks as requested by the Director, including scheduling, notes, follow-ups, and data organization.
Research and test AI tools, plug-ins, or automation solutions that could improve efficiency.
Ensure proper documentation and structured storage of all materials.
Maintain confidentiality and manage sensitive information responsibly.
Qualifications
Strong English and Arabic reading/writing skills.
Excellent computer literacy and comfort with cloud tools (Google Drive, Notion, or Airtable).
Skilled in using AI tools for transcription and translation.
Ability to download, convert, and manage video/audio files from various platforms.
Organized, self-directed, and able to manage multiple tasks simultaneously.
Reliable internet connection and comfort working remotely.
Preferred Skills
Familiarity with creating subtitles (SRT format).
Experience with digital research or data organization.
Interest in arts, culture, or education (a plus, but not required).
Quick learner with a solutions-oriented mindset.
