AI-Powered Quote Generator on SharePoint

Project Summary – SharePoint-based quote generation system with Copilot Studio
Project Goal: To develop an automated quote generation system where:

• incoming customer requests are processed by a **Copilot Agent** built into SharePoint,

• works from the appropriate Excel price list,

• fills in a Word template,

• finally generates a PDF quote and saves it to the appropriate SharePoint folder.

The system is built entirely on the existing Microsoft 365 infrastructure.

System structure

1) SharePoint content creation

The project manages two sales areas:

• Event sales (100 offers/month)

• Packaged finished product sales (100 offers/month)

Both areas have their own SharePoint folder, which contains:

• previous offers, templates

• valid Excel price list (formatted as a table)

2) Copilot Studio Agent

The AI ​​assistant appearing on SharePoint is responsible for:

• interpreting the customer request,

• categorization (Event / Packaged product),

• refining the data request, clarifying if necessary

• generating offers, saving offers to a Sharepoint folder

The agent published to the SharePoint channel consumes Copilot Studio capacity (Copilot Credits).

3) Power Automate background process (not required to be created at the start)

With the data provided by Copilot:

• reads the appropriate price list (Excel Online),
• calculates the offer items,
• fills out the Word template (Word Online),
• generates a PDF, and
• saves the file to SharePoint.
