Operations Coordinator for AI Automation Agency (n8n, Zapier, Make, AI tools)

We are an AI-powered marketing and automation agency looking for a reliable Operations coordinator to help us build and maintain internal and client-facing automation systems. The focus is on practical, business-focused workflows (no hype, no blockchain/crypto).
You will work closely with the founder to turn ideas and high-level SOPs into clear workflows, automation pipelines, and repeatable processes using tools like n8n, Zapier, Make.com, and AI APIs.
Your responsibilities will include:
Translating business goals into clear step-by-step workflows and automation plans
Building, testing, and maintaining automations in tools like n8n, Zapier, Make.com, etc.
Coordinating tasks between team members, tracking progress, and keeping projects moving
Documenting processes, edge cases, and failure scenarios in a structured way
Monitoring automations, troubleshooting issues, and improving reliability over time
Helping organize operations using tools like ClickUp/Notion/Sheets (or similar)
Must-have skills/experience:
Strong experience with no-code/low-code automation (n8n, Zapier, Make.com, or similar)
Comfortable working with APIs (webhooks, JSON, basic auth, API keys, etc.)
Experience building AI-powered workflows or apps (OpenAI, Claude, other LLMs, AI agents, etc.)
Good written and spoken English, able to think clearly and communicate updates
Structured, detail-oriented, and comfortable documenting processes
Able to work independently, ask smart questions, and move fast
Nice to have (not required):
Experience with CRM or internal ops systems
Familiarity with project management tools (ClickUp, Asana, Notion, Trello, etc.)
Experience supporting a founder/lead as a operations or technical coordinator
