Technical Resource Brief – AI Workflow & NetSuite Integration
Company Overview
We are a U.S.-based flooring company that specializes in residential projects. Our sales process involves in-home measurements, which we translate into electronic orders that flow into NetSuite ERP for fulfillment, billing, and customer management.
We currently use a system called Measured Squared to capture room measurements and automatically generate electronic documents that calculate material needs by line item. Each line item corresponds to a SKU from our NetSuite product catalog.
Project Goal
We want to build an AI-driven workflow integration between Measured Squared, our proprietary Order Configurator, and NetSuite. The integration should automate error detection, optimize material usage, and streamline the order-to-cash process by reducing manual intervention.
Scope of Work
1. Data Integration
Ingest data from Measured Squared (measurement outputs, material requirements) into a middleware layer or directly into NetSuite.
Map each line item SKU to our NetSuite product catalog.
Integrate with our proprietary Order Configurator to consolidate and standardize order data.
2. AI-Based Auditing & Optimization
Build a rules- and AI-based engine that checks orders for:
Missing fields (e.g., product SKUs, pricing, discounts, tax codes).
Measurement optimization (e.g., ensuring material quantities are within tolerance and waste is minimized).
Payment and financing information completeness.
Use AI/ML where beneficial (e.g., anomaly detection for outlier measurements, intelligent material optimization).
3. Inventory Assignment
Automatically assign inventory to order line items in NetSuite.
Flag potential shortages or backorders for manual review.
4. Exception Handling & Customer Communication
If errors or missing data prevent an order from being finalized:
Trigger automated customer outreach (SMS, email, or automated voice call) to resolve missing details.
Provide order correction workflows that feed results back into NetSuite seamlessly.
5. NetSuite Integration & Workflow Automation
Implement within NetSuite SuiteScript / SuiteFlow or through an external integration platform (Celigo, Boomi, custom API layer).
Ensure two-way synchronization so updates in NetSuite flow back to the AI workflow layer where relevant.
Deliverables
Integration layer between Measured Squared, Order Configurator, and NetSuite.
AI-driven auditing engine for measurement checks, material optimization, and data completeness.
Automated inventory assignment in NetSuite.
Exception handling module with automated customer communications.
Documentation: workflow diagrams, technical architecture, API mappings, and end-user instructions.

Required Expertise
NetSuite Development
SuiteScript (1.0/2.x), SuiteFlow, SuiteTalk (SOAP/REST APIs).
Experience mapping external systems to NetSuite order management.
Integration Experience
Proven track record building integrations with external SaaS systems.
Familiar with middleware (Celigo, Boomi, MuleSoft, or custom Node.js/Python API layers).
AI / Automation Tools
Hands-on with AI workflow tools (UiPath, n8n, Zapier w/ AI plugins, LangChain, Rasa, or custom Python AI workflows).
Experience with anomaly detection / optimization logic for numeric datasets (measurements, inventory, orders).
Telecom / Messaging APIs (nice-to-have)
Experience integrating Twilio / Vonage or similar for automated SMS and phone call handling.
Domain Experience
ERP order-to-cash workflows.
Inventory assignment and SKU-level order management.
Retail / flooring / construction materials (preferred but not required).
Engagement Details
Start Date: Immediate
Engagement Type: Contract (3–6 months with possible extension)
Work Mode: Fully remote, U.S. overlap hours required.
