Title: Build AI-Powered Sales & Booking Automation for Event Business (Meta Leads + Make.com + ChatGPT)

Overview

I run an event entertainment company called Bubble Leisure UK. We offer Bubble Football, Nerf Wars, Dodgeball and Combo Packages for children’s parties, schools, team events and community events.

Currently, leads come from Facebook and Instagram Lead Forms.

I want to automate the sales process as much as possible.

Current Process

1. Customer submits Meta lead form.
2. Lead is added to a spreadsheet.
3. I manually review the enquiry.
4. I send a personalised quote.
5. I answer questions via email, Messenger or Instagram.
6. I send a Tide payment link for a £50 deposit.
7. If they do not pay, I manually follow up.

1. Lead Capture

When a Meta Lead Form is submitted:

* Add lead to Google Sheets automatically.
* Create a lead status field.
* Record all form fields.

Fields include:

* Name
* Email
* Phone
* Activity
* Duration
* Number of Players
* Date
* Area
* Venue Required (Yes/No)

2. AI Quote Generation

Based on my pricing structure:

Bubble Football

* 60 mins = £250 up to 10 players
* Additional players = £10 each

Bubble Football

* 90 mins = £300 up to 10 players
* Additional players = £10 each

Combo Package

* £350 base
* Additional players = £10 each

Combo Premium

* £395 base
* Additional players = £10 each

The system should calculate an estimated quote automatically.

3. Automated Email Sequence

Immediately after lead submission:

Email 1:

* Thank customer
* Provide estimated quote
* Explain package
* Ask whether they already have a venue

Day 2:

* Follow-up reminder

Day 4:

* Follow-up reminder

Day 5:

* Deposit request reminder

4. Deposit Request

The system should include my existing Tide payment link in all quote emails.

After payment is made I will manually update the status in Google Sheets to:

“Deposit Paid”

Once marked as Deposit Paid:

* Stop reminders
* Send booking confirmation email automatically

5. Booking Confirmation Email

When status changes to Deposit Paid:

Automatically send confirmation email containing:

* Event summary
* Remaining balance
* Venue details
* Arrival/setup information
* Contact details to be provided closer to event date

6. Lead Management Dashboard

Google Sheets should include:

Statuses:

* New Lead
* Quote Sent
* Follow Up 1
* Follow Up 2
* Deposit Requested
* Deposit Paid
* Booked
* Lost

7. Optional (Nice To Have)

AI email responder that can answer common questions such as:

* Pricing
* Venues
* Number of players
* What’s included

* Deposits
