1. Trigger

Trigger when a new Facebook Lead Form is submitted.

2. Lead Creation

Create the lead in CRM.

Assign it to a user.

Start the automation sequence.

3. First Call (Attempt 1)

VAPI AI Assistant Call:

Call the lead immediately.

If the lead ANSWERS:

Collect all required information.

Upload call transcription to lead card.

Send WhatsApp + Email.

Book appointment.

Move lead to stage: “Waiting for Delivery”

END.

If the lead DOES NOT ANSWER:

Send WhatsApp message.

Send Email.

Move lead to stage: “No Answer 1”

Wait 24 hours before next attempt.

4. Retry Attempts (Attempts 2 → 6)

Each retry follows the same structure as Attempt 1.

Attempt 2 (Stage: No Answer 2)

Trigger VAPI to call the lead.

If ANSWERED:

Collect information.

Upload transcription to lead card.

Send WhatsApp + Email.

Book appointment.

Move to “Waiting for Delivery”

END.

If NO ANSWER:

Send WhatsApp message.

Send Email.

Move to No Answer 2

Wait 24 hours.

Continue to Attempt 3.

Attempts 3 → 6:

Repeat exactly the same steps as above.

Attempt Stage if no answer
3 No Answer 3
4 No Answer 4
5 No Answer 5
6 No Answer 6

Wait 24 hours between each attempt.

5. After Attempt 6

Move lead to final stage: “No Answer”

6. Long-Term Follow-Up (Every 10 Days)

Trigger VAPI call every 10 days.

If ANSWERED:

Upload transcription

Send WhatsApp + Email

Book appointment

Move to “Waiting for Delivery”
