Optimise n8n Lead Automation
Budget: $30 – $250 AUD
I have an n8n workflow that fires from a Gmail “Message received” trigger, routes each incoming lead through rule-based AI agents, and then replies accordingly. It works, but it’s getting unwieldy and wastes tokens. I need you to go through the flow node-by-node, strip out anything redundant, and reorganise the logic so it runs leaner without changing the final outcome.
Key points you’ll tackle
• Prompt engineering – rewrite the prompts so every agent tailors its reply by lead source, returning exactly the wording each enquiry type demands. (Please note - I will be able to provide all types of scenarios for difrent types of emails that we should listen for)
• Human hand-off – insert a branch that escalates only complex inquiries to a human user; all other paths must remain fully automated. (Please note - this may not be required)
• Inbox hygiene – once a conversation is closed, have n8n move the entire thread to a designated Gmail folder, keeping the main inbox clear.
• Clarity for me – when you’re done, record a short Loom video walkthrough that shows the revised workflow, explains each change, and outlines how I can maintain it myself.

1. Updated n8n workflow (JSON export).
2. Loom video explanation (shareable link).
The end goal is a faster, cheaper, and easier-to-maintain automation that still categorizes leads with rule-based agents, responds correctly by lead source, and involves a human only for complex inquiries.
