Project Overview – AI Assistant for Construction Scheduling, Forecasting, and Reporting using Open Claw or other

I am looking to build a custom AI assistant to help manage construction scheduling, forecasting, reporting, and operational oversight.
Core Purpose

The goal is to create an AI-based assistant that acts like a digital operations support tool for my role. It should help me stay on top of jobs, upcoming milestones, handovers, inspections, and exceptions without constantly needing to check multiple systems manually.

Key Functions Required

1. Email-based report processing
• A dedicated private email address will receive daily project reports automatically.
• The AI assistant will access that email inbox and review incoming reports each day.
• It should extract relevant information from those reports and turn it into useful outputs such as:
• daily schedules
• upcoming job milestones
• handover forecasts
• alerts for issues, delays, or irregular patterns

2. Forward forecasting
• The system should help forecast upcoming activity around 2 to 3 months in advance.
• This forecasting should ideally be generated at the end of each month or beginning of each new month.
• Forecasting may include:
• upcoming handovers
• expected job progress
• upcoming claims
• jobs likely to become critical
• build stages that may need attention

3. Daily operational assistant
• I want to be able to use this assistant while driving between sites or while on the road.
• The purpose is to give me confidence about what is happening across my jobs without needing to constantly go back to my computer.
• It should help me understand what is due, what is late, what is coming up next, and where I need to focus my attention.

4. Flexible rules and evolving logic
• The assistant must be designed so I can continue adding new rules, checks, and functions over time.
• This is important because the information I want from it will evolve.
• Examples of future rules or parameters may include:
• bill times
• supervisor progress at certain build stages
• upcoming claims
• jobs tracking under or over baseline
• unusual gaps in call-for dates
• irregular booking patterns
• repeated delays or recurring admin issues

5. Website login and form tracking
• The assistant should also be able to log into a specified website/platform and review submitted forms.
• It needs to extract specific information from those submitted forms, including:
• links to the form/report
• record details
• status of submitted items
• It should also capture and maintain a tally of completed items, especially:
• quality inspections completed
• safety inspections completed
• count of orders/forms completed over a period of time

6. Quality and safety tracking
• I want visibility over how many quality inspections and safety inspections are being completed.
• The assistant should be able to track this over time and provide summaries or tallies as needed.
• This may be used to monitor individual performance, team activity, or general compliance trends.
7. Uploading of Images (desktop screenshots) OCR that Also shows important scheduling data enable to turn this into useful content and reporting

Ideal Outcome

The end result should be a practical, expandable AI assistant that:
• reads and interprets daily incoming reports
• accesses form data from a website login
• tracks inspection activity and completed records
• forecasts future work and handovers
• identifies unusual patterns or risks
• provides useful daily and monthly operational summaries
• can be improved continuously by adding more rules, checks, and data sources over time

• This should be built as a flexible system, not a one-off static report tool.
• I want to be able to keep expanding what it does as new needs come up.
• The main focus is practical use in day-to-day construction operations, forecasting, and management oversight.
