Summary
Use Adobe Acrobat Pro + EverMap AutoMailMerge to batch‑populate 60+ UK application forms from CSV files. Standardise spreadsheet headers to UK conventions, create and save a reusable Mail‑Merge mapping/settings file for each PDF, and deliver correctly named outputs (fillable and, on request, flattened).
Mandatory: AutoMailMerge only (no alternate methods).
Responsibilities
Form Audit & Preparation (UK)
Review 60+ PDFs; group into unique form types/versions.
Ensure all fields are fillable and consistently named (e.g., Text1 → given_name).
Capture UK‑specific fields/formats: postcode, town/city, county (optional), NI number, DOB (DD/MM/YYYY), UK phone, NHS number (if applicable), sort code/account number (if applicable).
Data Standardisation (UK)
Assess current spreadsheet(s) with mixed headers and propose a canonical UK header schema.
Apply UK conventions:
Dates: DD/MM/YYYY (validate/convert).
Postcodes: uppercase with correct spacing (e.g., SW1A 1AA).
Phones: UK local spacing (e.g., 020 7946 0321, 07123 456 789) and/or +44 E.164, as required by the form.
Currency: GBP / £.
Add/Remove/Rename columns to match the canonical schema.
Deliver a data dictionary and header crosswalk (original_header → canonical_header).
Apply light transforms (trim, title‑case names/addresses, postcode spacing/uppercase, Yes/No normalisation).
Mail‑Merge Mapping (AutoMailMerge)
In Acrobat Pro: Plug‑ins → AutoMailMerge; select the canonical CSV.
Map each canonical header → PDF field (bind checkbox/radio values for Yes/No).
Configure formats for dates (DD/MM/YYYY), numbers, UK phones, and postcodes.
Create and export a saved AutoMailMerge mapping/settings file for every individual PDF (clearly versioned and named).
Example naming: FormName_Version_AutoMailMerge_Settings (exact file extension as produced by AutoMailMerge).
Batch Generation & Output Management
Run AutoMailMerge to generate one PDF per record.
Use UK‑friendly naming, e.g., FormType_Surname_GivenName_DDMMYYYY_RecordID.pdf.
Provide fillable outputs and, on request, flattened copies.
Organise results by form type; produce a merge log and error report.
Quality Assurance (UK specifics)
Pilot on 3–5 forms; refine mappings.
Verify DOB = DD/MM/YYYY; postcodes (spacing/uppercase); UK phone spacing.
Validate NI number (QQ 12 34 56 C, uppercase).
