Adobe Acrobat & EverMap AutoMailMerge Specialist

Job ID: 39802954

Budget: £10 – £50 GBP

We need an expert who will use Adobe Acrobat Pro with EverMap AutoMailMerge to batch‑populate 60+ UK application forms from CSV files. You will standardise our spreadsheet headers to UK conventions, create and save a reusable Mail Merge mapping profile for each unique form type, and deliver correctly named outputs (fillable and optionally flattened).
Responsibilities
1) Form Audit & Preparation (UK context)

Review 60+ PDFs; group into unique form types/versions.

Confirm all fields are fillable and consistently named; rename ambiguous fields (e.g., Text1 → given_name).

Note UK‑specific fields and formats: postcode, town/city, county (optional), NI number, DOB (DD/MM/YYYY), UK phone, NHS number (if applicable), sort code/account number (if applicable).

2) Data Standardisation (UK)

Assess current spreadsheet(s) with mixed headers.

Propose a canonical UK header schema (see Starter Schema below).

UK conventions:

Dates: DD/MM/YYYY (store/validate; convert from other formats as needed).

Postcode: uppercase, correct spacing (e.g., SW1A 1AA).

Phone: local spacing (e.g., 020 7946 0321, 07123 456 789) and/or E.164 +44 where required by a form.

Currency: GBP / £.

Add/Remove/Rename columns to match the canonical schema.

Deliver a data dictionary and a crosswalk (original_header → canonical_header).

Apply light transformations (trim, title‑case names/addresses, postcode spacing/uppercase, Yes/No normalisation).

3) Mail Merge Mapping (AutoMailMerge) — Per Form Type

In Acrobat Pro: Plug‑ins → AutoMailMerge.

Select the canonical CSV as the data source.

Map each canonical header → PDF field (bind checkbox/radio values for Yes/No).

Configure formats for dates (DD/MM/YYYY), numbers, and UK phone/postcode representations.

Save the mapping profile/settings (e.g., .ammx) for each form type.

4) Batch Generation & Output Management

Run AutoMailMerge to produce one PDF per record.

Use a UK‑friendly naming pattern, e.g.:
FormType_Surname_GivenName_DDMMYYYY_RecordID.pdf

Output two variants on request: fillable and flattened.

Organise results by form type; produce a merge log and error report.

5) Quality Assurance (UK specifics)

Pilot on 3–5 forms; adjust mappings.

Verify DOB renders as DD/MM/YYYY.

Validate postcodes (format/spacing, uppercase) and UK telephone spacing.

Check NI number formatting if present (QQ 12 34 56 C, uppercase).

Ensure sort code (NN‑NN‑NN) and account number (8 digits) formatting where applicable.

Confirm diacritics, multi‑line wrapping, and that no text clips.

6) Documentation & Handover

Provide AutoMailMerge mapping profiles per form type.

Provide a concise Runbook (with screenshots) for re‑runs in AutoMailMerge.

Provide merge logs, error logs, and a completion report.
