Senior Assistant: Admin & Projects
Budget: $2 – $8 USD
My calendar, inbox and projects have all outgrown a one-person show, so I need a senior-level assistant who can keep the daily administrative engine running while guiding projects from brief to delivery.
Day-to-day administration
• Schedule internal and client meetings across multiple time zones, handle rescheduling, and confirm agendas in advance.
• Monitor a shared inbox, surface priority emails, draft or send responses when appropriate, and keep folders tidy.
• Prepare polished documents—presentations, proposals, meeting notes—using Microsoft Office or Google Workspace.
Hands-on project management
• Translate high-level goals into actionable tasks and assign them in Asana (or a comparable tool you already master).
• Track progress against milestones, flag risks early, and circulate concise status updates.
• Maintain project documentation in an organised, version-controlled structure so anyone can find the latest file in seconds.
Acceptance criteria
– All meetings confirmed 24 h in advance with agenda attached.
– Inbox response time under 24 h for priority threads.
– Weekly project report submitted every Friday, including burndown or Gantt snapshot and next-week priorities.
