Healthcare Agency Compliance Assistant Needed

Job ID: 39787980

Budget: $2 – $8 USD

Running a growing home-health and personal-care agency means the paperwork flows non-stop. I need a part-time virtual assistant who already understands Medicaid waiver programs, general healthcare administration, and day-to-day home-care agency support so you can step in without a long learning curve.

Your main focus will be compliance: completing and submitting Medicaid/CLTS/PCA licensing applications, following up with state and county staff on provider enrollment, and keeping a sharp eye on every renewal or survey deadline. At the same time, you’ll build and maintain a tidy digital filing system—client charts, employee records, policy documents, background checks, TB screens—so that auditors can find what they need in seconds.

General admin help such as responding to email, scheduling, and light data entry will round out the role, but the priority is always staying audit-ready. I work in Google Workspace and Microsoft 365, so comfort with shared drives, Sheets/Excel trackers, and e-signature tools is important.

Initial workload is modest (about 10-15 hours a week) with plenty of room to grow as we add clients and caregivers.

Deliverables I rely on:
• Complete, submission-ready licensing packets and provider applications
• A cloud-based folder structure with up-to-date client, employee, and policy files
• A living compliance calendar that flags survey, renewal, and documentation deadlines at least 30 days out

If you have hands-on experience with Medicaid, CLTS, DHS, or similar programs, tell me a bit about the specific agencies and forms you’ve handled. The smoother you make compliance, the faster we can focus on client care.
