TranOps is expanding quickly and needs a highly organized, reliable Executive Operations Assistant to help leadership stay efficient, focused, and ahead of the business. This role is critical to keeping communication, scheduling, files, leads, and daily operations moving smoothly across a fast-moving company.
The Opportunity
This is a high-responsibility remote support role focused on organization, execution, and helping leadership operate at their best. You will manage calendars, emails, follow-ups, files, reports, lead routing, customer communication, and operational coordination across multiple areas of the business.
Primary focus is executive and administrative support. Revenue support, collections, sales coordination, operations, and finance assistance and will grow naturally as you build familiarity with the business.
We are looking for someone proactive, reliable, detail-oriented, and capable of managing multiple priorities independently.
Location & Schedule
Remote — Open to candidates based in the Philippines or Southeast Asia
Employment Type: Full-Time, Long-Term
Compensation & Benefits
Monthly Base: $100 – $1,500 USD per month depending on experience
Performance Bonuses: Tied to reliability, responsiveness, and measurable results
Growth Path: Clear advancement into Operations Coordinator or Office Manager as TranOps scales
Payment: Processed monthly via Wise or PayPal
Core Responsibilities
Executive & Administrative Support
Manage calendars, appointments, reminders, and daily scheduling for leadership
Organize daily priorities and follow-up lists to keep leadership focused
Draft and send professional emails and responses on behalf of leadership
Manage leadership inboxes and communication flow
Prepare reports, summaries, spreadsheets, and internal documents
Maintain clean, organized digital files and folder structures
Revenue & Occupancy Support
Maintain a live vacancy tracker across all TranOps properties
Alert leadership of expiring agreements and available space opportunities
Coordinate listing updates within 24 hours of any new vacancy
Track active tours, pending proposals, and deals in progress
Maintain and distribute a weekly occupancy dashboard to leadership
Sales & Lead Coordination
Respond to inbound inquiries promptly and professionally
Route leads accurately to the correct leasing or sales team members
Maintain and update CRM records and prospect status consistently
Schedule property tours, calls, and meetings on behalf of the team
Track all follow-ups to ensure no opportunity is missed
Collections & Finance Support
Send rent and license fee reminders on schedule
Track unpaid balances and prepare a weekly accounts receivable aging report
Escalate delinquent accounts to leadership quickly and clearly
Organize expense records and financial documents for accounting
Support bookkeeping coordination with the internal team or external accountant
Update financial spreadsheets and KPI dashboards as directed
Operations & Facility Support
Coordinate with vendors, contractors, and service providers across locations
Assist with insurance certificates, permits, utility requests, and service follow-up
Track agreements, renewals, notices, and key operational deadlines
Collect photos, videos, and condition updates from local facility teams
Maintain site condition logs and organize maintenance requests by property
Track vendor task completion dates and flag overdue items
Customer & Tenant Communication
Handle professional communication with customers, tenants, and licensees
Follow up with prospects and clients in a timely and organized manner
Coordinate and resolve requests from facility contacts and customers
Escalate urgent issues quickly and clearly to the appropriate person
Performance Tracking & Reporting
Each week you will track and report on the following metrics:
Leads responded to
Tours scheduled
Invoices followed up
Vacancies updated
Tasks closed
Deadlines met
Tools & Platforms
Required:
Google Workspace — Gmail, Drive, Docs, Sheets, Calendar
Microsoft Office — Word, Excel
Zoom or Google Meet
Email management and scheduling tools
Preferred / Nice to Have:
HubSpot or similar CRM
QuickBooks or basic bookkeeping support tools
ClickUp, Asana, or similar task management platforms
Slack or similar team communication tools
DocuSign or similar e-signature platforms
Required Qualifications
Strong English written and verbal communication skills
3–5 years of experience as an Executive Assistant, Administrative Assistant, Operations Assistant, or similar role supporting U.S.-based businesses
Excellent organization and time management skills
Strong attention to detail and follow-through
Ability to multitask and prioritize in a fast-paced environment
High reliability, responsiveness, and professionalism
Comfortable working independently with minimal supervision
Reliable internet connection and a professional remote workspace
Preferred Qualifications
Proven experience supporting U.S.-based leadership or business operations
Experience with CRM systems, particularly HubSpot
Proficiency in Google Workspace and Microsoft Office
Familiarity with QuickBooks or basic bookkeeping coordination
Background in real estate, logistics, warehousing, or operations
Experience with ClickUp or similar project management tools
