I am an assistant for a busy oral and maxillofacial surgery practice that also supports an oral-cancer clinic inside the hospital. The surgeon is looking for a dedicated executive assistant.

Our current appointment flow is far from intuitive, and the resulting bottlenecks mean patients can sit for hours before the surgeon sees them. To fix this, he needs an executive assistant who can take full ownership of three interconnected areas:

• Scheduling & appointments – Audit our current workflows inside the specialized scheduling software we already use, spot the choke-points, and redesign the template so chair-time, consults, follow-ups, and OR blocks line up logically.
• Patient communication & follow-ups – Advise staff in handling inbound calls and portal messages and keeping cancer patients on track with surveillance visits. Clear, compassionate outreach is critical.
• Administrative & clerical support – Prepare daily surgery lists, draft referral letters, coordinate pathology reports, and track authorizations so cases are never delayed.

Success is straightforward: a revised scheduling protocol implemented within the first month that cuts average patient wait time by at least 30 %, plus a set of written SOPs my clinical staff can follow without you hovering over their shoulder. Familiarity with medical scheduling tools, HIPAA-compliant communication, and a mindset for continuous process improvement will make this partnership work.
