Executive Administrative Support for US Physician/CEO

Job ID: 40400020

Budget: $3,500 – $4,500 USD

Role: Chief of Staff (full-time, exclusive) to a US physician/CEO

Industry: Concierge longevity medicine practice + multi-entity executive office. Founder runs three businesses.

Region preference: Open to Philippines, South Africa, or Latin America. Prioritize candidate strength over geography. Must work US Central business hours with 5+ hours overlap (9 AM – 2 PM CT minimum).

Experience required: Minimum 5 years as Chief of Staff or senior Operations Manager for a US-based founder, physician, or executive. Must demonstrate experience running 5+ concurrent projects and coordinating external professionals (legal, IT, accounting, marketing vendors).

Budget: $3,500–$4,500/month USD. Open to higher for exceptional fit.

Start date: Within 3 weeks of selection.

Active project portfolio this hire will own (in priority order):

1. PracticeQ/IntakeQ patient intake forms and practice integration — build, test, integrate

2. Amazon KDP book publishing logistics (hardcover launch)

3. Patient email re-engagement and educational campaigns

4. Practice rebranding rollout coordination

5. Book marketing & PR launch plan

6. IT migration project oversight (third-party MSP doing the work)

7. Credit card processor switchover implementation

8. Office lease implementation (storage move, furniture disposal)

9. VIP patient communication drafting (for principal review and signature)

Out of scope: Travel planning, email management, and calendar scheduling — principal handles travel personally; email and calendar scheduling unlock at later trust tiers.

Critical screening criteria:

• Native or near-native English (C1+) — will draft to high-net-worth patients and external counsel

• Discretion and confidentiality — must sign NDA before any context is shared

• Proactive judgment — anticipates rather than waits for instructions

• Comfort with ambiguity — multiple time zones, frequent reprioritization, three businesses simultaneously
