I run a fast-growing creative design studio and I’m ready to hand off the day-to-day numbers and office coordination so I can stay focused on design work. I’m looking for one reliable professional who can blend solid bookkeeping skills with smooth administrative support.
Bookkeeping scope
• Prepare monthly and quarterly financial reports I can read at a glance.
• Manage full-cycle accounts payable and receivable, including timely invoicing and follow-ups.
• Process bi-weekly payroll and keep all related records organized in QuickBooks.
• Reconcile bank and credit-card statements so everything ties out before month-end.
Administrative scope
• Own the studio calendar—schedule client meetings, internal reviews, and key deadlines, keeping stakeholders updated.
• Respond to routine client emails and route design inquiries to the right teammate.
• Track office supply levels and place orders before we run low.
Tools & workflow
We live in QuickBooks, wave for finances, Microsoft Office Suite for internal documents, and Google Workspace for shared calendars and files. Familiarity with all three is essential; I’d love suggestions on workflow improvements if you see opportunities.
Rhythm & deliverables
– First month: migrate any outstanding transactions, deliver an initial financial snapshot, and design an easy-to-follow reporting template.
– Ongoing: send reconciled financials and payroll confirmations by the 5th business day, maintain a two-week forward calendar, and keep the supply tracker current.
