Back Office Associate for Property Management

A Property Management Back Office Associate will play a crucial role in supporting the administrative and operational functions of Lacy Management. You will provide essential behind-the-scenes support to ensure efficient operations and effective communication within the organization. Here is a general outline of the key duties and requirements for this position:

Responsibilities:
● Administrative Support: Provide administrative assistance to property management teams, including data entry, document management, filing, and record keeping. Maintain accurate and up-to-date files and databases.
● Lease Administration: Support lease administration processes, including lease preparation, renewal documentation, and lease file management. Ensure compliance with lease terms and conditions.
● Tenant Communication: Serve as a point of contact for tenant inquiries and communications. Respond to tenant inquiries, address concerns, and coordinate with property managers to resolve issues.
● Vendor Coordination: Assist with vendor management, including obtaining quotes, processing work orders, and coordinating maintenance and repair activities. Maintain vendor files and track performance.
● Reporting and Documentation: Prepare regular reports on property performance, occupancy rates, financial metrics, and maintenance activities. Assist in the preparation of presentation materials for meetings and presentations.
● Compliance and Legal Support: Stay informed about local, state, and federal property management regulations and ensure compliance within the organization. Assist with legal documentation, including lease agreements, notices, and eviction processes.
● Communication and Coordination: Collaborate with property management teams, maintenance staff, and other stakeholders to ensure effective communication and coordination of activities. Facilitate interdepartmental communication and information sharing.
● Technology and Software Management: Utilize property management software and other technological tools to streamline processes and enhance operational efficiency. Stay updated on software functionalities and provide user support when needed.
● Process Improvement: Identify opportunities for process improvement and suggest ideas to enhance productivity and efficiency. Participate in implementing new procedures and systems as directed.
Qualifications:
● Education and Experience: Undergraduate degree or equivalent is required. Previous experience in property management, real estate, or a related field is preferred but not mandatory.
● Administrative Skills: Proficiency in administrative tasks such as data entry, document management, and record keeping. Strong organizational skills and attention to detail are essential.
● Communication Skills: Excellent verbal and written communication skills to interact with team members, tenants, vendors, and other stakeholders. Ability to convey information clearly and professionally.
● Analytical Skills: Basic analytical skills to review and analyze financial data, lease agreements, and reports. Ability to identify trends, variances, and potential areas for improvement.
● Technology Proficiency: Comfortable working with property management software, Microsoft Office Suite, especially Excel reporting and other relevant tools. Ability to quickly learn new software and technologies.
● Teamwork and Collaboration: Ability to work effectively within a team and contribute to a positive and cooperative work environment. Willingness to support colleagues and assist in various tasks as needed.
