Job Summary:

The Administrative Support Clerk will play a crucial role in ensuring the smooth operation of our office and supporting our team. This position requires a proactive, organized, and detail-oriented individual who can handle multiple tasks efficiently and effectively.

Key Responsibilities:

- Administrative Duties:
- Manage and maintain executives' schedules, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, and presentations.
- Organize and maintain electronic and paper files.
- Handle incoming calls, emails, and other communications.
- Order office supplies and manage inventory.

- Project Coordination:
- Assist in the planning and execution of company events and meetings.
- Coordinate projects and ensure deadlines are met.
- Collaborate with team members to streamline processes and improve efficiency.

- Customer Service:
- Greet visitors and direct them to the appropriate person or department.
- Provide general support to visitors and staff.
- Address and resolve customer inquiries and issues promptly and professionally.

- Data Management:
- Enter, update, and maintain accurate data records.
- Generate reports and compile data for analysis.
- Ensure data confidentiality and security.

- Technical Support:
- Provide basic IT support to staff, including troubleshooting hardware and software issues.
- Coordinate with external IT support services when necessary.

- Financial Administration:
- Assist with basic bookkeeping tasks, including invoicing, expense tracking, and budgeting.
- Prepare and submit expense reports.

QUALIFICATIONS:

- High school diploma or equivalent
- Some experience in an administrative support role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving skills.
- Basic knowledge of IT and financial administration is a plus.
