I run PHIRA-Science, a small, international research non-profit active in Thailand, Indonesia, the Republic of Georgia, and Tajikistan. As our projects expand, I need an organised remote assistant who can keep our operations flowing smoothly across several time zones.

Top-priority responsibility
Our field teams travel frequently and at short notice, so your first focus will be arranging research trips—securing the best flight routes, booking affordable yet comfortable accommodation, and confirming ground transport. Each itinerary must be compiled with full e-tickets, hotel vouchers, and a concise travel brief placed in our shared Google Drive at least 48 hours before departure.

Ongoing administrative support
• Bookkeeping: record day-to-day expenses and generate monthly invoices, maintaining clear, audit-ready trails.
• Website management: update our Wix site with new project summaries, researcher bios, and publication links. Basic image editing and SEO tagging are a plus.
• Social media management: draft and schedule weekly posts for Facebook, Instagram, and LinkedIn, aligning content with our research calendar.
• Thai ↔ English translation: translate short emails, social captions, and partner correspondence accurately and in a professional tone.
• Events diary: keep a colour-coded Google Calendar of conferences, grant deadlines, and internal milestones, sending automated reminders to the team.

Language & communication
Spoken and written Thai is desirable because many of our partners and suppliers are based in Bangkok and Chiang Mai. Clear English emails and prompt updates are essential.

Success markers
– All travel booked within budget and uploaded 48 hours pre-trip
– Expense sheet and invoices submitted by the 3rd business day each month
– Website refreshed at least once a week, with zero broken links
– Social media calendar filled two weeks ahead, matching project themes
– Translations returned within 24 hours of request
