Accounting & Finance Manager (E-commerce) — Part-Time Retainer, Contract-to-Hire
About the Engagement
We are a new ecommrce brand preparing to launch wellness products via Amazon FBA and Shopify. We’re building a clean, data-driven financial foundation and are seeking an experienced Accounting & Finance Manager who can keep the books accurate, cash predictable, and leadership informed as we scale.
You will be our finance partner — providing month-end accounting, cash oversight, and practical, plain-English guidance.

Scope of Work & Responsibilities
1) Accounting & Bookkeeping
• Set up and maintain QuickBooks Online (QBO) to reflect all activity.
• Connect and manage A2X (or Link My Books) for Amazon/Shopify payout reconciliation.
• Record and track landed cost (product, freight, duties, packaging) by batch/SKU.
• Weekly bank/credit card reconciliations.
• Month-end close by BD+5 with P&L, Balance Sheet, and Cash Flow summary.
2) Financial Planning & Cash Management
• Maintain a rolling 12-week cash forecast (inflows/outflows, runway).
• Review supplier orders and major spend for financial feasibility before commitment.
• Flag risks early (cash, fees, returns, ad spend, operating costs).
• Encourage sensible cash buffers to absorb fee/freight variance.
3) Reporting & KPIs
• Prepare simple, readable monthly summaries + charts for revenue, margins, cash, and key e-com metrics (e.g., TACoS, MER, Cash Runway).
• Use a mix of QBO reports + Google Sheets/Excel dashboards (Power BI a plus).
• Short weekly/biweekly notes if there are material changes.
4) Advisory & Decision Support
• Provide Yes / No / Not Yet recommendations on POs, ad caps, new tools, and timing.
• Ad-hoc analysis on pricing, margin, and reorder planning.
5) Tax & Compliance (Light Coordination)
• Monitor sales-tax posture (marketplace facilitator rules; platform-collected/ remitted) and coordinate with a CPA for filings as needed.
• Maintain clean, audit-ready records year-round.
6) Collaboration & Communication
• Short weekly updates (message/email) + a monthly review call (Zoom/Teams).
• Respond to ad-hoc requests within 12–24 hours.
• Secure, organized file sharing (QBO accountant access + Drive/Dropbox).

• Contract-to-hire potential if there’s mutual fit.

• Monthly retainer (paid bi-weekly). Please include your proposed monthly retainer for an early-stage brand with a light initial scope.
• Any expanded work beyond the agreed monthly scope will be pre-approved.
