About the Role
Flat Rate Bookkeeping is a U.S.-based bookkeeping firm serving small businesses across the United States. We are seeking a full-time Payroll & Sales Tax Accountant to manage payroll and sales tax compliance for approximately 50 U.S. small business clients.
This is a high-responsibility, firm-style role, not a single-client position. You will be expected to handle recurring compliance work accurately and on time. During lighter payroll and filing periods, you will assist with bookkeeping cleanup projects.
Key Responsibilities
• Run payroll for ~50 U.S. small business clients (weekly, bi-weekly, semi-monthly, and monthly)
• Manage payroll tax filings and payments (federal, state, and local)
• Prepare and file U.S. sales tax returns (monthly, quarterly, annual)
• Ensure compliance with U.S. payroll and sales tax regulations
• Communicate with internal team regarding missing data or discrepancies
• Perform bookkeeping cleanup and catch-up work during non-peak times
• Maintain accurate records and documentation for all accounts
• Meet strict deadlines consistently
Required Qualifications
• Proven experience handling U.S. payroll (multiple clients)
• Strong understanding of U.S. sales tax filing requirements
• Experience working in a bookkeeping or accounting firm
• Ability to manage high volume (up to 50 accounts)
• Excellent attention to detail and accuracy
• Comfortable working 9–5 EST, full time
• Reliable internet connection and ability to work independently
Preferred Qualifications
• Experience with payroll software (Gusto, ADP, Paychex, QuickBooks Payroll, etc.)
• Experience with QuickBooks Online
• Prior bookkeeping cleanup or catch-up experience
• Strong written communication skills
