Labour Compliance & Attendance Management

I need ongoing, hands-on support to keep our plant’s labour paperwork watertight and on schedule. Right now everything lives in a series of digital spreadsheets, but as activity grows the files are becoming unwieldy. About 50-60 workers clock in every day, so accuracy and timeliness are critical.

Every fortnight I will forward you scanned copies of supplier bills and any fresh labour documents; you will review them, flag discrepancies, and return an orderly package that is ready for our accounts team to post. During the same cycle you will update and regularise each employee’s attendance sheet so that overtime, leave and shift rotations are reflected without gaps.

On the compliance side I want you to take full ownership of EPF and ESI (IC) employee registration and monthly contribution management. That means preparing member details, completing portal uploads, generating challans, and saving all acknowledgements in a logical folder structure that will stand up to audit. Filing of statutory returns is handled in-house for now, yet your records must be clear enough for us to submit at a moment’s notice.

You will also liaise with our external contractors whenever their staff are on site, collecting attendance inputs and passing back any salary or deduction queries to accounts. Consistency of formats across contractors is important to me; the goal is that any manager can pull up a single tracker and understand hours worked, payments due and compliance status without hunting for information.

Deliverables I will check every two weeks:
• Consolidated attendance register for all 50-60 workers, signed off by line supervisors
• Folder of scanned bills and supporting documents, renamed and sequenced for accounting
• EPF/ESI registration updates for new hires, with confirmation receipts
• Proof of monthly EPF/ESI contributions paid, plus reconciled spreadsheet

If you already use dedicated payroll or document-management software, feel free to suggest how we can migrate; otherwise a disciplined spreadsheet workflow is acceptable. Reliability, neat documentation and prompt communication with accounts and contractors will be the main success factors.
