Fuel Retail Billing & Accounting System
Budget: $30 – $250 USD
I am building a cloud-hosted platform that lets a multi-station petrol and LPG business run every daily task—from the pump to the balance sheet—in one place. The heart of the project is a rock-solid Accounting Module that must produce ACCA-compliant Profit & Loss statements on demand, yet stay friendly enough for a cashier to read at the end of a shift.
What I need in practical terms is an end-to-end workflow:
• Billing: automatic invoice generation the moment a sale closes, live fuel-price lookup, VAT/tax calculation and payment tracking that ties straight into the ledger.
• Inventory: real-time stock visibility for petrol, diesel, LPG and lubricant products, with configurable reorder alerts so nobody discovers an empty tank by surprise.
• Customer management: profiles, credit limits, full transaction history and the option to bolt on a loyalty or rewards scheme later.
• Reporting & analytics: visual dashboards at daily, weekly and monthly intervals, covering revenue, stock performance and an exportable audit log.
• Security & compliance: role-based access (cashier, manager, accountant), complete audit trail and alignment with petroleum-sector regulations.
• Scalability: single code-base that can spin up new branches quickly, accessed via web plus mobile-friendly views.
Acceptance criteria
1. ACCA-ready P&L statement passes sample audits.
2. A cashier can sell fuel, print an invoice and see the sale reflected in stock within 10 seconds.
3. Manager dashboard loads under 3 seconds with live data from at least two remote branches.
4. All actions are time-stamped and appear in the audit trail.
5. System survives a simulated 500-concurrent-user load with no data loss.
Deliverables
• Source code, database schema and deployment scripts.
• API documentation for possible pump or POS hardware integration.
• Admin manual and quick-start guide for station staff.
