Executive Assistant: Research, Sourcing and Bookkeeping Specialist to a Construction Executive

Position Summary:
As the Executive Assistant with Sourcing, Research, and Bookkeeping Skills, you will play a pivotal role in supporting the CEO and enhancing the operational efficiency of our organization. Your primary responsibility will be to manage sourcing efforts, identifying and securing the resources required for our projects. Additionally, your research skills will aid in decision-making processes, and your bookkeeping skills will contribute to maintaining financial records. You will provide personal assistance to the CEO, ensuring their professional and personal matters are well-coordinated.
Key Responsibilities:
• Source and evaluate potential suppliers, vendors, and contractors for various project requirements.
• Conduct in-depth research to provide insights for strategic decision-making.
• Maintain accurate records of sourcing activities, contracts, and vendor performance.
• Handle bookkeeping tasks, such as recording expenses, managing invoices, and reconciling accounts.
• Problem-solve procurement challenges and adapt sourcing strategies to changing project demands.
• Coordinate and manage procurement logistics to ensure timely delivery of materials and services.
• Assist the CEO with daily tasks, scheduling, travel arrangements, and personal matters.
• Handle confidential information and sensitive matters with discretion.
• Prepare reports, presentations, and documents for executive meetings.
• Provide administrative support to the CEO as needed.
Requirements:
• College Educated
• Fluency in English, both written and verbal.
• On Demand availability during EST times of work. (GMT -5)
• Fast, Reliable, Uninterrupted Internet connection.
• Previous experience as an executive assistant or similar role
• Strong negotiation skills and ability to establish fruitful vendor relationships.
• Exceptional organizational and multitasking abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Problem-solving mindset and ability to adapt strategies in response to challenges.
