Bookkeeper / Payroll Manager
Budget: $25 – $50 USD
The Bookkeeper is responsible for payroll, benefits and 401k management, accounting operations and records management of the corporate office, bank reconciliation, residential and commercial properties and development properties in order to ensure organizational effectiveness and efficiency.
Duties and Responsibilities
1. Office Services
· Process payroll, benefits withholding, payroll deductions, 401k, etc.
· Prepare, monitor and control written and verbal correspondences.
· Liaise with other employees, agencies, organizations and groups.
· Maintain office equipment.
· Manage and oversee an organizational structure adequate for achieving the department's goals and objectives.
· Assist in the management and operations of subsidiary corporations, including control systems, transaction-processing operations, and policies and procedures.
· Lease administration of all commercial assets.
· General administrative assistance to the company owners, as needed.
· Maintain, design, organize and implement procedure for record retention and filing systems.
· Transfer and dispose of records according to retention schedules and policies.
· Ensure protection and security of files and records.
· Ensure personnel files are up to date and secure.
2. Accounting Operations
· Ensure that accounts payable are paid in a timely manner utilizing discounts whenever possible.
· Ensure that accounts receivable are collected promptly.
· Process payroll and payroll taxes in a timely and accurate manner.
· Ensure that monthly bank reconciliations are completed by the first full week of each month.
· Ensure month end close is completed by the first full week of each month.
· Ensure that required debt payments are made on a timely basis.
· Maintain the chart of accounts.
· Maintain a system of controls over all transactions.
· Assist in the preparation and issuance of timely and complete financial statements
· Coordinate and prepare the monthly, quarterly and annual owners statements and reports.
· Assist in the oversight of the annual budget and forecasts.
