Accounts Operator – AP/AR + Xero Specialist

About the Role
We’re looking for a highly capable and driven Accounts Operator to join our team full-time. You’ll be the backbone of our finance function – handling both accounts payable and receivable – and we need someone who thrives in a fast-paced environment where communication and attention to detail are key.
This isn’t your average bookkeeping job – you’ll be constantly following up with customers (yes, some will need chasing!), fielding calls from persistent suppliers, and keeping everything moving smoothly. If you’re proactive, persistent, and passionate about getting things done right the first time, we want to hear from you.
What You’ll Do
Manage end-to-end Accounts Receivable: issuing invoices, reconciling payments, chasing overdue accounts, and keeping our cashflow healthy
Oversee Accounts Payable: coding, processing, and paying bills on time while keeping suppliers happy
Communicate with customers and suppliers frequently via phone and email – strong phone skills are a must
Use Xero daily for all bookkeeping tasks: reconciliations, invoicing, bank feeds, reporting, etc.
Manage Xero Payroll – ensuring staff are paid accurately and on time
Support month-end closing, reporting, and other ad-hoc finance tasks
Work with the management team to optimise our finance process – from automation opportunities to improving collections and reducing errors
Maintain records and compliance to a high standard
About You
3+ years experience in a similar AP/AR role
Proven Xero skills, including reconciliations, invoicing, reporting, and ideally payroll
Familiar with Australian accounting standards, GST, BAS, and Superannuation obligations
A clear, professional, and confident phone manner – you're not afraid to pick up the phone to chase payments or resolve issues
Strong attention to detail and ability to multitask
Able to prioritise and manage competing demands with a calm and proactive approach
You love process improvement and automation – and you can spot inefficiencies before they become a problem
Experience working with freight forwarding, warehousing, or logistics (a bonus but not essential)
