Membership Database and Payment System
Budget: $3,000 – $5,000 USD
The objective of this assignment is to develop a comprehensive database system. The Database should support, among others, member registration, subscription tracking, member services management, and trade references. The system should facilitate data import from Excel and accommodate online and offline accessibility based on the user’s capacity to meet online hosting costs.
Member Registration:
Develop a module for member registration capturing key details such as Name, address, and any other contact information.
Village, group, area, district, province, sub-group affiliation (e.g., Study circle, VSLA, commodity association etc.)
Demographic information (age, gender, household size, etc.)
Implement functionality to adapt and import member data from Excel sheets.
Enable different access levels (Project team, Donors and trading partners) for viewing, analysis and with rights editing member profiles.
Membership Subscription Tracking
Design a system to track membership subscriptions and payments.
Record subscription start dates, renewal dates, and payment history.
Allow for online subscription tracking with the flexibility to transition to offline tracking based on user capacity.
Member Services Tracking
Develop modules to track member services such as training sessions attended, donations received, and other relevant services provided.
Capture details of services rendered and associated dates for reporting and analysis.
Implement data import capabilities and offline access options for managing member services.
Trade References and Crop Production:
Create a section to record trade references, credit rating and crop production details for members.
Include information on crops produced, land area for production, input requirements, yields, and marketed products.
Enable user-friendly interfaces for data entry and modification, accessible both online and offline based on user capacity.
Technical Requirements:
Develop the database system to ensure scalability, efficiency, and user-friendly interfaces.
Implement robust data security measures to protect member information and ensure compliance with data privacy regulations.
Enable seamless data import from Excel files and support offline functionality for users with limited online access.
Ownership and Accessibility:
The database system will be provided under a non-exclusive license agreement, granting the user full rights to use, modify, and maintain the system.
Upon completion of the project and final payment, all intellectual property rights related to the database system will be transferred to the user.
The system will initially be hosted online for implementation and training, with the option to transition to offline hosting based on user capacity and operational needs.
Support and Maintenance:
Provide training and support for system implementation and user training during the online hosting period.
Offer ongoing support and maintenance services on a contractual basis, including updates and troubleshooting.
Milestones:
• Detailed database design documentation, including entity-relationship diagrams and system architecture.
• Fully functional database system deployed on [specified platform] with user manuals and training materials.
• Testing and quality assurance reports ensuring system performance and reliability.
Data import functionality from Excel files and offline access capabilities based on user requirements.

The project timeline is one month from the day of signing the contract. From the commencement date, with milestones and deliverables defined and agreed upon.
