PROJECT DESCRIPTION:
I need a Make.com specialist to build the automation layer of my AI outbound lead qualification system. The VAPI agents are already built and tested by me. The Google Sheets structure is already designed. You are building the Make.com scenarios that connect everything together.
HOW THE SYSTEM WORKS:
I add a lead to a Google Sheet with Status = New. Make.com detects it, fires a VAPI outbound call, processes the outcome, handles retries, and when a meeting is booked it creates a Google Calendar event and sends a Gmail confirmation. I add one row and everything else runs automatically.
WHAT YOU ARE BUILDING - THREE Make.com SCENARIOS:
Scenario 1 - New Lead Trigger
Watch Google Sheet every 15 minutes for rows where Status = New. Fire VAPI outbound call via HTTP POST using my provided API details. Update the row: Status = Attempting, Attempt Count = 1, Last Attempt = current timestamp.
Scenario 2 - Step 1 Call Outcome Processor
Receive VAPI webhook after call ends. Parse JSON output from call transcript. Route by outcome as follows.
- Not Interested: update sheet Status = Dead
- Scheduled: update sheet Status = Scheduled, write preferred call time and ISO datetime to specified columns
- No Answer or Busy: increment Attempt Count. If count is less than 3, delay 60 minutes and re-fire VAPI call. If count equals 3, set Status = Dead.
Scenario 3 - Step 2 Scheduler and Booking
Watch Google Sheet every 15 minutes for rows where Status = Scheduled and preferred DateTime column falls within the next 20 minutes. Fire VAPI Step 2 outbound call. Receive Step 2 webhook. Parse JSON. Route by outcome as follows.
- Booked: create Google Calendar event with meeting details, send Gmail confirmation to lead, update sheet Status = Booked, write pain points, lead score, meeting datetime, calendar event ID, and email sent = Yes
- Busy: flag row for human review
- Not Interested: update Status = Dead

- Google Sheet already built with all columns and dropdowns, you get editor access
- VAPI API key and both agent IDs ready to use
- Exact JSON output structure from both VAPI agents so you know exactly what fields to parse
- Gmail account connected and ready

- Full technical specification document covering every field, every route, and every column reference
WHAT IS NOT IN SCOPE - DO NOT PRICE THESE:
VAPI setup, SIP trunk, WhatsApp, UAE phone number, reporting dashboard, any CRM beyond Google Sheets
PAYMENT TERMS:
Single milestone. Single payment. Released only when I personally add one dummy lead to the sheet with Status = New and without touching anything else I see the following happen. VAPI fires the call. Outcome updates the sheet correctly. Step 2 fires at the scheduled time. Google Calendar event appears in my calendar. Gmail confirmation lands in the test inbox. Full cycle confirmed. I approve and release payment.
