Project Overview

LEAFE’S is seeking an experienced no-code automation specialist to set up a Shopping Centre Approval and Compliance workflow.

This is not a custom software build.
The project focuses on creating a simple, reliable internal system using existing no-code tools.

The goal is:
One form submission leads to automated research, automated task creation, and clear follow-up so nothing is missed.

Scope of Work

You will set up an end-to-end workflow using:
• Jotform for intake and document uploads
• Make.com for automation and logic
• ChatGPT (OpenAI API) for internal research summaries
• Motion for task management and follow-ups

Key Responsibilities

Jotform
• Build a clean intake form for shopping centre approvals
• Include centre details, activation details, document uploads, and internal notes
• Ensure the form is mobile-friendly and easy to update

Make.com Automation
• Trigger automation on Jotform submission
• Send centre information to ChatGPT via OpenAI API
• Receive structured internal research output, including:
• Centre type
• Estimated foot traffic level
• Likely demographic mix
• Accessibility considerations
• Approval risk level
• Format outputs for internal operational use

Motion Integration
• Automatically create a project or task group in Motion for each submission
• Auto-create tasks such as:
• Review centre suitability
• Check compliance documents
• Prepare approval pack
• Submit to shopping centre
• Follow up approval
• Ensure tasks are scheduled automatically by Motion

Optional (Nice to Have)
• Save uploaded documents into structured Google Drive folders
• Provide brief handover documentation

• Not a full CRM build

• Not public-facing AI claims

The system must remain simple, compliant, and easy to maintain.
