To accelerate our growth, we want to build a fully automated B2B prospecting workflow using Make.com, integrated with tools like FullEnrich, OpenAI (ChatGPT), Gmail, Google Sheets, and WhatsApp.
⚙️ Scope of Work
Objective
Set up a Make.com automation that can:
✅ Enrich company & contact data from FullEnrich.
✅ Generate personalized emails with ChatGPT based on company profile, role, and product relevance.
✅ Send up to 135 emails per day (rotating across 3 Gmail accounts, with a max of 45 emails per account per day).
✅ Log all activity (contacted prospects, email content, timestamps) in a Google Sheet.
✅ Send a daily WhatsApp report to our team summarizing the outreach activity.
? Workflow Details
1️⃣ FullEnrich Data Enrichment
• Make API call to FullEnrich using company domain from the Google Sheet.
• Retrieve company profile, industry, LinkedIn URL, contact list (with job titles like R&D, Procurement, Innovation, Quality).
• Add enriched data to the Google Sheet (1 row per prospect).
2️⃣ Personalized Email Generation via ChatGPT
• For each new prospect, trigger ChatGPT via OpenAI API.
• Input:
➡️ Company profile (sector, products, positioning)
➡️ Contact role (R&D, Procurement, Innovation, Quality)
➡️ Relevance of vanilla for this type of company (flavor house = extract focus, ice cream = seeds & powder, etc.)
➡️ Language preference (English or French)
• Output:
➡️ Fully personalized email, highlighting Vanilla Fair’s strengths (traceability, sustainability, direct sourcing).
➡️ Adapted tone and message based on the company type & contact role (no generic marketing emails).
3️⃣ Email Sending via Gmail (Rotating Across 3 Accounts)
• Send email via Gmail API.
• Apply sending limit: max 45 emails per account per day.
• Use 3 Gmail accounts provided by Vanilla Fair.
• The system must automatically rotate between the 3 email addresses until the daily cap (135 emails total) is reached.
• If all accounts hit their limit, the system pauses until the next day.
4️⃣ Activity Logging in Google Sheets
• Each email sent must update the tracking Google Sheet (date sent, email used, status, contact name, company name).
5️⃣ Daily WhatsApp Summary (via WhatsAble or equivalent)
• Every day at 19:00, send a WhatsApp message to Guillaume (Vanilla Fair team).
• The message should summarize:
➡️ Total emails sent that day
➡️ List of companies contacted
➡️ Preview of 2-3 personalized emails (to quickly review tone & quality)
