Plan Phone-Free Weekend Retreat
Budget: $25 – $50 USD
I’m putting together a two-day, phone-free weekend retreat that helps people step away from screens, breathe fresh air, and connect face-to-face. I need a detail-oriented coordinator who can make the experience feel seamless from the moment guests arrive until the last tent is packed away.
Scope of work
• Scout and secure an inviting park or campground no more than an hour outside the city, handling all permits and venue negotiations.
• Design a full itinerary built around nature, movement, and spacious downtime. One non-negotiable element is an afternoon relaxation outdoor-yoga session; hikes, casual campfire chats, or other low-pressure activities can be woven in if space and schedule allow.
• Source and book any equipment we’ll need—tents, cooking gear, mats, portable shade—so participants can travel light. No certified instructor is required for the yoga; an experienced but informal guide or self-led format is fine.
• Draft a clear, step-by-step logistics plan covering arrival, parking or shuttle options, meal prep flow, quiet hours, and easy pack-up procedures.
• Prepare weather-proof contingency options (alternate sheltered space, rain-friendly activities, hot beverage station, etc.).
Deliverables
1. Three vetted venue options with cost breakdowns and availability.
2. A minute-by-minute weekend itinerary in PDF and editable format.
3. A logistics deck outlining equipment lists, vendor contacts, setup diagrams, and bad-weather backup plans.
4. Communication templates I can send to attendees before, during, and after the retreat.
