Personal assistant
Budget: $1,500 – $3,000 USD
The Personal Assistant will assist the Executive Managing Director of Production in the office and at his personal residence with errands, meeting contractors, planning personal travel, shopping (grocery or other) maintaining his VIP Birthday program, and any additional tasks requested. The primary role is to take care of the household and to make sure the Executive Director is supported at the highest level.
Job Responsibilities
1) Assist the Executive Director with all personal errands
Assist the Executive Director with all personal tasks at the home and office. This could include running errands, picking up orders, ordering concert tickets, making reservations, car issues, picking up his lunch, coordinating personal travel and helping with tasks around his personal residence.
2) Implement the Birthday Program (VIP Program)
Keeping track of the Executive Director’s VIP list (Names, addresses, email addresses, phone numbers, birthdays, employee start dates, and hobbies) and “All About You” forms. This is an extensive list of people who are very important to him that includes family, friends, and employees. This process will entail researching and purchasing a special gift for each VIP and making sure it is wrapped and ready to go the day of their birthday. Gifts will often need to be shipped; The goal is to make sure each person on this list is taken care of on their birthday.
Job Requirements:
• Must have a go-getter attitude
• Must be a self-starter and willing to jump right in
• Must have a high school diploma or equivalent.
• Must have a valid driver’s license and reliable transportation
• Must be able to work 40 hours per week and overtime as required (this could include some weeknights or weekends, as requested)
• Must have a basic understanding of Word, Excel, and Outlook
• Must have excellent verbal and written communication skills.
• Must have a positive attitude.
• Must be dependable, self-motivated, and require minimal supervision.
• Must be detail oriented.
• Must be able to organize, prioritize, and manage their time accordingly
Essential Job Duties of the Position:
• Assist with all personal errands/tasks at the residence or in the office
• Implement the Birthday Program (VIP Program) - Gifting
• Maintain the Executive Director’s VIP list
• Assist with tasks around the Executive Director’s household (running errands, assist with the animals, shopping…etc.)
• Assist with the Monthly Employee Cookouts and dinners at the Executive Director’s residence
• Assist with any additional levels of support/tasks as requested
Physical Demands:
While performing the duties of this job, a person is regularly standing, sitting, traveling in accordance with the requirements of this role (some computer use) and may occasionally need to lift up to 20 pounds. This role requires travel; therefore, a reliable vehicle is needed.
Work Environment:
This role will begin in the standard office setting then progress to most of the time being spent at the private residence (household errands, assist with the animals, and helping with specific projects as requested).
